Patents, trademarks and designs in one place

Patent and trademark management software

IPBases is one intellectual property management system for trademarks, patents and industrial designs. Each right is modelled the way it really works, and all of them share the same clients, associates, documents, deadlines and billing.

The problem

Two systems for one client

Many firms keep trademarks in one place and patents in another, often a spreadsheet. The client is the same, the foreign associate is often the same, and the invoice should be one invoice. Split systems mean double data entry, deadlines that live in two calendars and reports that never add up.

IPBases keeps every right under one roof without flattening them into a generic “matter”.

How each right is modelled

Built for the differences, shared where it counts

Trademarks

Nice classes 1–45 with goods and services per class, a 4-step filing wizard, status from Applied to Registered, a ten-year renewal date filled from the filing date, watch checks on save, and notices to the client at every stage.

Patents

Claims, office actions with response deadlines, priority claims with the 12-month Paris Convention window, PCT designated countries and an annuity schedule per patent.

Industrial designs

Locarno classes, multiple views (drawings) per design with a primary view, a 6-month priority window and a cross-design priority deadline dashboard.

What every right shares

  • Clients and associates — one client record, with billing routed through a foreign associate when the work came from one.
  • Deadlines and annuities — actions with an internal date (when your team acts) and an external deadline (the office), plus annuity schedules with grace dates. Reminder emails go out on their own once you switch them on under Automation.
  • Documents — every file filed against its trademark, patent or design, sorted into categories. See IP document management.
  • Billing — invoices linked to the filing they cover, payments, offers and proposals in several currencies.
  • Permissions — separate access for trademarks, patents and designs, so a trademark team does not see the patent docket unless you allow it.
  • Reports — filings, renewals, status and billing across the whole portfolio, summarised on the Executive Brief.

Patent docketing that respects how patents run

A patent is not a trademark with a different number. Office actions arrive with response deadlines, priority claims have a fixed twelve-month window, and maintenance fees fall due every year in many offices. IPBases keeps each of these on the patent record, raises the deadline as an action, and can email the person responsible before it falls due. More detail in our post on patent office actions, annuities and PCT.

Trademark work without the spreadsheet

Trademarks get the full workflow: a filing wizard that moves from the record to the invoice, the actions and the client notice; renewal reminders at the intervals you set, sent to the client or to the associate who sent the work; and a watch service that compares new gazette entries with your clients’ marks. Patent and trademark management: frequently asked questions

What is patent and trademark management software?

It is one system of record for a firm's trademarks, patents and designs. Each matter keeps its status, jurisdiction, priority claims, deadlines, documents and invoices together, so the team stops tracking patents in one tool and trademarks in another.

Can one system handle patents and trademarks properly?

Yes, if it models what is different about each. In IPBases a trademark carries Nice classes and a ten-year renewal cycle; a patent carries claims, office actions, PCT designated countries and annual fees; a design carries multiple views and its own priority window. They share clients, associates, documents, billing and deadlines.

Does IPBases track patent annuities?

Yes. Annuities are scheduled per patent, design or trademark with due date, grace date, fee and status, and the daily run can email reminders before they fall due. Patent priority deadlines have their own reminder steps at 180, 90, 60, 30, 14 and 7 days.

Is IPBases an intellectual property management system or just docketing?

Both. Docketing is the deadline engine inside it. Around it sit the filing wizard, documents, client updates, invoicing and payments, permissions and reports that a full intellectual property management system needs.
